I agree with the morning meetings. The mornings tend to be a little on the slow side anyway, so it is a perfect time to meet and go over things just before they take place. People asked me what was going on more times in the morning than any other time.

At follow up discussions late Sunday and Monday after last year's PiP, originally the idea was to have morning safety meetings for EVERYONE who was involved, to go over the day's agenda, safety of weapons, safety of people, who will be doing what during the day etc, etc... so EVERYONE is on the same page.

The captains meetings were simply that... captains/heads/representative of each crew ONLY were to report to Harry, at NIGHT, to go over the day's activities... what worked, what didn't, what was being kept, what was being changed for the next day's agenda, who had issues on the the field and has to address it, such as the pirate who pulled an actual knife, things like that should be worked out well in advance but weren't...five minutes before a battle, you don't ask "so how would you guys like to contribute?"

The captains/heads/representatives of each crew would then bring the info back to each of their OWN crews and deal with it... this would allow everyone else in each crew to go into town, or do whatever else they like after the public goes home for the day.

Then the following morning there would be ANOTHER safety meeting for EVERYONE...

Last year was a right pain in the arse... there was never a set time for any safety meeting, They kept changing it and no one was telling the folks in the Careening camp what was going on or when it was happening until it was way too late to get any where on time... and then some had the bloody nerve to shoot off their mouths about it...

The worst was the last minute 2pm meeting on Thursday which NO one knew about ahead of time and yet had the stipulation, "If you don't show, You don't carry weapons!" ... folks were still flying into the Key, they hadn't even arrived yet! Safety meeting times need to be set for first thing in the morning for the first day of actual activity. And IF IT IS MANDATORY, folks need to know at least three months in advance in order to make proper travel arrangements. You don't schedule a MANDATORY meeting for EVERYONE the day most folks are arriving and bloody well NOT tell anyone until after they arrive..... you set it for the morning of the first day everyone is expected to do something.

And aye, do I sound aggravated about safety issues? You bet, all it takes is for one boob to shut down the hobby and put us all out of business.

I would also suggest some sort of schedule board in the Fort, not only for the participants but for the public to view as well... and a "duty" roster in the camps.

There is always room for a marked improvement. In addition to a regularly scheduled meeting, we should see that each of our camps and the members of it have a copy of the schedule. This schedule should not just be the 'public' schedule', but a list of all the 'in house' meetings combined with the public schedule. Something used solely for the purposes of the re-enactors throughout the event.

I also suggest that we designate a few runners, in case we have to send information anywhere when something unexpected changes. Someone from each camp willing to bear messages to the other camps if the need arises.

Which is fine if the camp has to contact folks in the fort, but the problem seemed to be more that the fort didn't contact the camp. It may have only been my impression, but it seemed like a lot of the fort encampments forgot about us occasionally. Of course, if true, this may have just been because it was the first year there was an encampment. (In general, the organization of the crews and communications within the fort seemed looser than the encampment. Again, this may only have been my impression.)

Don't feel bad. Our crewe in the fort didn't know when the meetings were until we saw a bunch of pirates over in the corner and we invited ourselves over for what turned out to be the safety meeting/weapons inspection.

Such is the wonder of PiP. It's been a little loose in organization since it has been in Key West. Not too surprising since most of the true Key West is that way too... very Caribbean mindset.

I think by setting a standard time (say 8 a.m. every morning) the captains have plenty of time to review the day and get the information back to their crewes by the opening at 10. The larger problem is with the freelancers who don't think they need such instruction and then show up and just wing it. Therein lies the true danger and we need a find a way to deal with this without being excluding.

Agreed Hurricane... what might help is a meet and greet type thing say on Thursday night or right before the first safety meeting... so everyone can learn who Harry is and who is with what crew... that way if there are free lancers they can easily be spotted and invited to join in the activities and the safety meetings...

If it's a gathering of pirates, there has to be a bowl of punch. There's nearly always a bowl of punch mentioned in the period accounts when pirate captains and crews meet in friendly circumstances. (It could be a punch party...)

Find me a pc punch that isn't alcohol based and I'll bring the bowl. Alcohol before a safety meeting and then handling blackpowder, guns, and swords... just does not mix. Unless we can of course pull off the meet and greet at night after hours...

I was talking about the Thursday night option. Alcoholic punch in the morning doesn't sound that interesting to me.

We can meet at our crewe's pub. I have the period punch and we can host the meet and greet Thursday night and enjoy a bowl of it together while everyone gets to know one another and renew old acquaintances.
